Automation Example: Create a Follow-Up Task

You must have administrator rights to access this feature.

This feature requires a Cartegraph OMS license.

In this example, we will create an automation that fires when a task with the Activity of tree removal is completed, and it will create a task to remove the stump.

  1. Click  >Automation Manager.
  2. Click Create Automation.
  3. In the Search for Trigger field, enter task is edited.
  4. Select Create or edit records after a task is edited
  5. You should rename your automation before you save it, but you can do so right away. Click in the title box at the top of the screen and enter Stump Removal.
  6. Click the trigger in the main workspace to extend it.
  7. In If condition field, select Status (initial value).
  8. In the Select Operator field, select Is.
  9. In the last field, select In Progress.

We will establish some additional conditions.

  1. Click .
  2. In Select Field, select Status.
  3. In the Select Operator field, select Is.
  4. In the last field, select Planned.
  5. Click .
  6. In Select Field, select Status.
  7. In the Select Operator field, select Is.
  8. In the last field, select Completed.
  9. Click .
  10. In Select Field, select. Activity.
  11. In the Select Operator field, select Is.
  12. In the last field, select Remove Tree.

Next, we need to edit the syntax by adding a set of parentheses and changing AND to OR.

  1. Click the (s) in the top right corner of the Extend Trigger panel.
  2. In the syntax, type ( before the first open parenthesis and ) after "Planned"), and change the first AND to OR.
  3. Click Save in the upper-right corner.

Now we'll set up an action to occur if all the conditions of the trigger are met.

  1. Drag the Create Task block from the left side of the screen to the center workspace and click in it to extend the trigger.
  2. In the Title field, change the title to Create Remove Stump.
  3. We will link the asset type, so select   next to the Asset Type field.
  4. Select Asset Type Trigger Record from the Asset Type search box.
  5. Select Asset ID Trigger Record from the Asset ID search box.
  6. Select Remove Stump from the Activity field.
  7. To set the start date after the trigger record is completed, make sure the Start Date field is set to 0 days after, and select Actual Stop Date Trigger Record from the following field.
  8. To allow a week to complete the stump romoval, change the Stop Date to 7 days after, and select Actual Stop Date Trigger Record from the following field.

Our automation is nearly complete, but we need to activate it and save it.

  1. Activate the automation by turning the switch in the upper-left corner to the on position.
  2. Click Save.

NOTE: You must Activate and Save an automation in order for it to run. If you have a partially completed automation you won't want it to run, so you can save it without activating it. Later, when you complete it, you should Activate and Save it.
