Automation Example: Require Usage Field on Task Completion

You must have administrator rights to access this feature.

This feature requires a Cartegraph OMS license.

In this automation, we will set up an error message that occurs if someone tries to complete an equipment task without filling in the odometer reading.

  1. Click >Automation Manager.
  2. Click Create Automation.
  3. In the Search for trigger field, search for task verify.

NOTE: You do not need commas between words; and is implied.

  1. Select the trigger, Verify or perform a calculation before a task is saved.
  2. Click on the trigger.

Now we will set some properties for our trigger in the Properties panel (right side of the screen).

  1. In the Select Field box, select  Asset Type.
  2. In the Select Operator box, select Is.
  3. In the last box, select Equipment.
  4. Click  . to set additional conditions.
  5. In the Select Field box, select Status.
  6. In the Select Operator box, select Is.
  7. In the last box, select Completed.

Now we will indicate that another condition is that the usage field in the trigger record has been left empty.

  1. Drag the Error Message block from the Blocks panel (left side of screen) to the workspace.
  2. Drag the If Condition block from the Blocks panel to the workspace.
  3. Make the Error Message block nested within the Condition block.
  4. Click on the Condition block to activate it and access its properties.
  5. In the Properties panel, change the title to Is usage field empty?
  6. In the Select Field box, select Usage Trigger Record.
  7. In the Select Operator box, select Is Empty (Is Null).

Now we will create the error message that displays if the usage trigger record is empty.

  1. Click on the Error Message block to activate it and set its properties.
  2. In the Properties panel, change the title to, Usage cannot be empty.
  3. In the Message box, type the following message: When completing equipment task, usage field is required.

Our automation is nearly complete. Keeping the default automation name can be done, but it is not suggested. To finalize the automation, we will give it a descriptive name, activate it, and save it.

  1. In the automation title screen near the top of the screen, change the title to Insert the odometer reading.
  2. Activate the automation by turning the slider to the on position.
  3. Click Save on the right side of the screen.

NOTE: An automation must be activated and saved to run. This allows you to save an incomplete automation that is not ready to run. Later, when you finish it, you must activate it and save it.
