Scenario Builder Record Locking Tips and Tricks

After a scenario has run on the Map tab of the scenario's detail view, you can lock the activities you want to include in a specific plan year. Before you can lock or unlock records for the scenario, you need to set the mode and select records on the map. There are two modes available to view, edit, and lock records: Activity and Plan Year. The Selection toolbar gives you options to select and deselect records. Once a set of records is selected, you are ready to use the Scenario panel.

Things to Keep in Mind

  • No Activity is an activity type.
  • Costs update anytime there is a change.
  • The Run Scenario turns orange after a change is made, but you don't have to rerun after every change.

The expectation is that you need to edit the results suggested by Scenario Builder. As you get a set of records with the correct activity and plan year associated, lock these records to preserve them when you rerun the scenario to refine your results.

Best Practices

As you refine scenarios until you reach the best fit for your organization, Cartegraph recommends these best practices:

  • Start with plan year 1.
  • Use Plan Year mode if you want to do an activity for a specific plan year.
  • Unlock records in Plan Year mode.
  • To correct mistakes, unlock the record and rerun the scenario, so the prior and future years reset.

Scenario Panel Attributes in Both Modes

The Scenario panel allows you to refine Scenario Builder results by changing the activity and plan year for an asset record. The scenario status changes to Scenario Edited, Rerun Required when any changes such as locking, unlocking, or changing the activity or plan year are made. Any updates are reflected in both the map and chart.

Whenever the scenario is rerun, all locked activities in the scenario are saved and persist until unlocked. Locked activities are always recommended in their plan year. Any unlocked years on rerun are recycled, and activities are recommended based on the normal rules of the scenario, taking into account locked years before recommending.

Scenario Panel in Plan Year Mode

Refine the scenario for a selected plan year.

Scenario Panel Fields:

  • Activity: The Activity option in Plan Year mode contains:
    • All Activities: This includes all activities across all triggers and protocols available in the scenario, up to a maximum of 12.

    • No Changes: This is a context-sensitive option. When selected as the activity and used in a lock operation, each selected asset will lock the activity currently visible on the map for that asset. This option allows the locking of visible assets without requiring a separate lock operation for each different activity type.

    • No Activity: Sets the selected records to No Activity.

  • Year: The Year field in Plan Year mode contains:
    • Up to 10 plan years in the scenario
    • An option for No Changes; when this is selected as the plan year and used in a lock operation, the updates are applied to the plan year currently visible on the map.

Apply and Lock Operations

The Apply & Lock button is disabled unless all of the following are true:

  • There is an Activity selected in the Scenario panel. (No Change uses each selected asset's current activity.)
  • There is a Plan Year selected in the Scenario panel. (No Change uses the plan year being viewed/year visible on the map.)
  • At least one asset is selected on the map (either locked or unlocked).

After you click Apply & Lock, the following happens:

  • Overwrite target year: A successful lock operation sets the selected assets to the activity and plan year selected in the Scenario panel. If there was a locked activity in the target plan year already, it will be overwritten.
  • Clear viewed year (conditional): If a lock operation targets a year other than the currently viewed plan year, the selected assets in the viewed year have their activity changed to No Activity. These records are locked if the viewed year is before the target year; otherwise, they will be unlocked.
  • Clear past activities: Any plan years prior to the target year for the asset that is not currently locked have the recommended activity set to No Activity and are locked.
  • Clear future activities: Any future plan years for the asset that are not locked have their activity set to No Activity; however, these remain unlocked.
  • Refresh: The map and table will be refreshed to reflect the changes.

Unlock Activities

The Unlock Activities button is disabled unless at least one locked asset is selected on the map.

  • Unlock operations ignores the Activity and Plan Year field selection. Locked activities selected on the map become unlocked as the same activity and plan year on the map.
  • Unlocking has no effect on activities that are already unlocked.
  • After a successful update, the map and table refresh to reflect the changes.

Scenario Panel in Activity Mode

The user may refine a scenario while filtering to a specific activity.

<Current Activity> used throughout the remainder of this topic refers to the activity selected in the mode's field. This refers to the activity the user is currently viewing on the map, such as Grind.

Scenario Panel Fields

The Activity and Plan Year fields do not contain a No Changes option in Activity mode.

Activity: The Activity field in the Scenario panel contains only two options in Activity mode:

  • <Current Activity>: The options update to match the activity currently shown on the map. For example, if you are in Activity Mode and select Grind in the toolbar to display on the map, the current activity is Grind. Grind also displays in the Scenario Panel Activity field. If we change the activity being worked on to Overlay, the field options update to match.
  • No Activity

Year: The Year field options are similar to Plan Year mode, listing each plan year in the scenario, up to a maximum of 10 years.

  • No Changes is not available as an option; a specific plan year must be selected.
  • This field is disabled when the Activity field is set to No Activity.

Apply and Lock Operations

The Apply & Lock button is disabled in Activity mode unless all of the following are true:

  • There is an activity selected in the sidebar, <Current Activity> or No Activity.
  • If the selection is <Current Activity>, there must also be a plan year selected.
  • At least one asset—either locked or unlocked—is selected on the map.

When the Activity drop-down list selection is <Current Activity>

Locking functions very similarly to Plan Year mode. The key differences are:

  • Locking multiple different activity types at the same time is not possible in Activity mode.
  • A specific plan year must be chosen to lock activities with.

After you click Apply & Lock, the following happens for the <Current Activity>:

  • Overwrite target year: A successful lock sets the selected assets to the activity and plan year selected in the Scenario panel. If there was a locked activity of any type in the target plan year already, it is overwritten.
  • Clear <Current Activity> in other years: When performing a lock, if the selected asset has locked instances of the <Current Activity> in years other than the target year, they are cleared as if unlocked. If any instances are before the target year, they become No Activity and locked. Otherwise, they become No Activity and unlocked.

Locking the same activity in multiple plan years on the same asset is not supported in Activity mode. This is possible to accomplish by performing separate lock operations for each year in Plan Year mode.

  • Clear past activities: Any plan years prior to the target year for the asset that are not currently locked have the recommended activity set to No Activity and are locked.
  • Clear future activities: Any future plan years for the asset that are not locked have their activity set to No Activity, and stay unlocked.
  • Refresh: The map and table refresh to show the changes.

When the Activity drop-down list selection is No Activity

Locking functions behave differently from Plan Year mode.

  • For selected assets, all unlocked plan years on the asset become locked as No Activity.
  • For selected assets, all locked records in all plan years whose activity matches the <Current Activity> also become locked as No Activity.
  • The Plan Year drop-down list option is disabled.

Unlock Activities Operations

The Unlock Activities button is disabled unless at least one locked asset is selected on the map.

  • No Activity records never show on the map as locked. Unlock operations will always be ignored for No Activity records while in Activity mode.
  • If multiple plan years contain locked records of the <Current Activity> type, only the top (visible) record will be unlocked; for example, if<Current Activity> = Grind and Asset A contains a locked Grind in plan year 1 and plan year 3, only plan year 1 will be unlocked.
  • The map and grid will be refreshed after the Unlock process has completed to reflect the changes.
