Task Updates When the Asset Is Changed

You must have a Cartegraph OMS advanced feature extension to access this feature.

Changing the asset associated to the task impacts related calculations.

Previous Asset Updates

Since the Task could have been an Impact or Key Date task, the system recalculates the previous asset's condition information using only the tasks that remain associated to the asset.

These fields include:

  • Act Before
  • Estimated OCI
  • Estimated OCR
  • Estimated CCI
  • Estimated CCR

Signs Only

  • Estimated Background Ra
  • Estimated Legend Ra
  • Estimated Contrast Ratio
  • Estimated Ra State

Equipment Only

  • VRR
  • VRR Condition
  • VRR Maintenance and Repair
  • VRR Reliability
  • VRR Usage

Key Dates are also updated as long as the asset is not Equipment:

  • Installed
  • Replaced
  • Retired

If this task triggered Projected Task for Preventative Maintenance, these tasks are removed from the asset.

Newly Assigned Asset Updates

Since the Task may be an Impact or Key Date task, the system recalculates the newly associated asset's condition information.

These fields include:

  • Act Before
  • Estimated OCI
  • Estimated OCR
  • Estimated CCI
  • Estimated CCR

Signs Only

  • Estimated Background Ra
  • Estimated Legend Ra
  • Estimated Contrast Ratio
  • Estimated Ra State

Equipment Only

  • VRR
  • VRR Condition
  • VRR Maintenance and Repair
  • VRR Reliability
  • VRR Usage

Key Dates are also updated as long as the asset is not Equipment:

  • Installed
  • Replaced
  • Retired

The system checks if Projected Tasks are triggered for the newly associated asset.

Existing Task Updates

The Location of the task is updated to the newly assigned Asset. The shape of the task on the map now reflects the current asset.

The following Location fields update based on the asset's shape type:

Point Assets Only

  • Locator Address Number
  • Locator City
  • Locator Street
  • Address Number

Point, Linear, and Polygon Assets

  • Address Number where applicable
  • When adding Address Number to other recordsets, it must be of the type Number

Location Description

  • City
  • Street

The associated Asset field reflects the ID of the newly assigned asset.

Any assignments, attachments, and resource entries remain. Associations to Work Orders and Requests are not affected.

Costs applied to this task are no longer considered by the previous asset and/or its container. The newly associated asset and its container, if it applies, inherits the task's costs.

Scenario Desired Outcome
Create a Task from an Asset. (Also works if you create a Work Order or add to an existing Work Order.) All available Location fields (Basic and Locator info) should be carried over from the Asset, including the Location Description field.
Select multiple Assets on the Assets index page. Bulk create Tasks for all Assets. (Also works if you create a Work Order or add to an existing Work Order.) Each Task should have all available Location fields (Basic and Locator info) carried over from their respective Asset, including the Location Description field.
Create a Task from a Facility. (Also works if you create a Work Order or add to an existing Work Order.) All available Location fields (Basic and Locator info) should be carried over from the facility, including the Address Number and Location Description Field.
Create a Task from a Request. (Also works if you create a Work Order or add to an existing Work Order.) Select an Asset type with Locator information. All available Location fields (Basic and Locator info) should be carried over from the Asset, including the Location Description field, and the Intersecting Street Field should be from the Request. If the Location Description Field is empty for the Asset, this field is filled from the Request.
Create a Task from a Request. Select an Asset type with no Locator information. (Also works if you create a Work Order or add to an existing Work Order.) All Location fields should be blank.
Create a Task from a Request. Select Non-Asset with no Locator information. (Also works if you create a Work Order or add to an existing Work Order.) All available Location fields (Basic and Locator info) should be carried over from the Request.

Create a Task from a Request. Select Non-Asset with valid Locator information. (Also works if you create a Work Order or add to an existing Work Order.)

Locator fields and related Basic info fields are carried over using the given Location. The Location Description and Intersecting Street come from the Request.
Create a Task from a Request. Select Non-Asset with invalid Locator information, for example, pin is in a field. (Also works if you create a Work Order or add to an existing Work Order.) All available Location fields (Basic and Locator info) should be carried over from the Request.
Change Asset within a Task detail. All available Location fields (Basic and Locator info) should be carried over from the new Asset/Request, following the same rules as before, that is, if associated to both an Asset and a Request, the Asset’s Location Description is used if it is not empty.
