Cartegraph for Zapier Example: Send a Text to Task Owner

This example shows how to connect Cartegraph OMS to a Text Message using Cartegraph for Zapier. In this example, we will receive a text message when a task is created in Cartegraph for a specified owner.

Structure Changes

Before starting with the example, create an Owner field in the Tasks recordset:

  1. In Structure Manager, create a custom field in Tasks called Owner. This field is a lookup to the Labor recordset. This requires a Publish.
  2. In Layout Manager, add the Owner field to the Task Setup section in the Task Detail layout so it is visible when creating a task.

Create Connection to Cartegraph and SMS

Now we will create the connection to Cartegraph and SMS by Zapier using Zapier.

  1. Go to https://zapier.com/ and set up a free account or access your existing account.
  2. Click Make a Zap.
  3. Enter a Name for your Zap such as "Send Text to Cartegraph Task Assignments."
  4. In the App Event, start to type Cartegraph in the search apps field and select Cartegraph (1.0.1).
  5. Select Record Event Occurred for the Trigger Event and click Continue.
  6. Select an account to use or create a new account. This includes the URL to the Cartegraph site and a user name and password.
  7. Once the account is created and select to use for the Zap, click Continue.

Set Up the Trigger

The next step is to set up the trigger.

  1. Select Work for Record Category.
  2. Select Task for Record Type.

Set Up the Automation

Next, set up the automation that displays in Cartegraph Automation Manager including the trigger Event Type.

  1. Select After Create for the Event Type.
  2. Type the automation name such as Send Text to Task Owner.
  3. Click Continue.

  4. Click Test Trigger to perform a test in Cartegraph to verify everything is set up correctly.
  5. Once the test is run, you will get a success message that a record was found. Click Continue.

Set Up the SMS Action Step

  1. Click the + icon to add another action step. In the App Event, start to type SMS by Zapier and select SMS by Zapier.
  2. Select Send SMS for the Action Event and click Continue.
  3. Select the appropriate account (add one if necessary).
  4. Click Continue.
  5. Next, set up the action

Enter a From Number

  1. In the Message box, add a message and the fields to send in the SMS. Select the fields from the Insert Data drop list.

The message cannot be more than 153 characters.

  1. Click Continue.
  2. To send a sample SMS to the phone number in the SMS account, click Test & Continue.
  3. Click Turn Zap On.

An automation is created in Automation Manager with the name entered earlier. A filter needs to be added to the trigger record for the owner of the task.

Add Filter to Trigger Record for the Task Owner

  1. In Cartegraph, go to Automation Manager and search for the automation you named in the previous steps.
  2. Click the trigger block in the center of the screen, and on the right side of the screen, enter which owner will receive the text message.
