What are Key Dates?

Key Dates track when an asset is installed, replaced, or retired.

Why are Key Dates tracked?

Key Dates are a factor in predicting an asset's condition, like OCI or remaining life.

Where can I find Key Dates?

These Dates are part of each asset's parent recordset and display in the Relevant Dates section of the asset's details.

How are Key Dates determined?

The Key Dates are associated with task activities. There is a setting in the Activities library to mark an activity as install, replace, or retire type activity. We call these Key Date Activities. More than one activity can be marked as install, repair, or replace. For example, Replace is an activity that is standard with all assets. In the Activities library, Replace is marked as a Replace activity. You might add an activity called Change Out to the Activities library, and mark that as Replace too.

How are Key Date fields filled?

There are a variety of ways to enter Key Dates:

  • Manually enter the date in the Installed, Replaced, or Retired field.
  • ArcGIS associations
  • Data import
  • Complete a task with a Key Date activity. The Actual Stop Date is used

How are Key Date fields edited?

There are a variety of ways to edit Key Dates:

  • Manually edit the date in the Installed, Replaced, or Retired field.
  • ArcGIS associations
  • Data import
  • Edit the Actual Stop Date on a completed Key Date task. Note that this date replaces any manually entered dates.

What if there are multiply Key Date activities, which date is used?

  • If an asset has multiple tasks with install type activities, the earliest date is used.
  • If an asset has multiple tasks with replace or retire type activities, the latest date is used.

Is a task required to fill out a Key Date field?

No, but it's more likely one of the Key Date activities will be performed as a task. The date can be entered directly in the field on the asset's Relevant Date section, if no task is entered.

What if I use a task to fill out one of the Key Date fields, and then delete the task?

If you delete a task the Key Dates are not removed from the Key Date field.

What if I use a task to fill out one of the Key Date fields, complete the task, and then change the activity on the task?

  • If on a completed task you change a Key Date activity to a Non-Key Date activity, the Key Date fields remain the same.
  • If on a completed task you change a Non-Key Date activity to a Key Date activity, the Key Date field is filled based on the Actual Stop Date.
