About the Task Calendar

The Task Calendar displays tasks on a calendar in a week or month view, allowing work to be quickly viewed. Each task's status, priority image, ID, Activity and Asset are displayed, while a Summary tool tip is available by clicking on the task in the calendar.

All tasks displayed in the calendar come from the grid where the calendar is opened. Any filters applied are used in the calendar, except Map Filter. 

The Task Calendar is available on the Task Index screen, the Work Order Tasks section of a Work Order detail, Assigned Tasks in Labor detail, and the Tasks list on a Container Asset Summary tab.

The Status of each task is represented by a color:

  • Blue is Projected
  • Orange is Planned
  • Green is In Progress
  • Purple is Completed
  • Red is Canceled

When multiple tasks display on the same day, they are displayed using the following order: earliest start date, longest date duration, task priority and then task ID.

Task dates can be adjusted while in the calendar.

Date Logic

The tasks in the Task Calendar display based on the dates in the task.

The priority in which the dates are used is as follows:

  • If an Actual date exists, it is used.
  • If no Actual date exists, then the Estimated date is used.
  • If no Actual date and no Estimated date exists, then Today is used.

Start Date Logic

  • If an actual start date exists on the task, that date is used for the start date in the calendar.
  • If no actual start date exists on the task but the estimated start date exists, the estimated start date is used for the start date in the calendar.
  • If no actual start and no estimated start dates exist on the task, Today is used as the start date in the calendar. In the event the stop date is before Today, then the stop date is used as the start date.

Stop Date Logic

  • If an actual stop date exists on the task, that date is used for the stop date in the calendar.
  • If no actual stop date exists on the task but the estimated stop date exists, the estimated stop date is used for the stop date in the calendar.
  • If no actual and no estimated stop dates exist on the task, Today is used as the stop date in the calendar. In the event the start date is after Today, then the start date is used as the stop date.

In the case of a start date coming after the stop date, the tasks are displayed with a span of one day, using the date that takes priority (Actual, Estimated, Today).

Here are some examples:

  • Task 1234 has an actual start date of 6/15/2016, an estimated stop date of 6/3/2016, and no actual stop date. Task 123 displays in the calendar on 6/15/2016 only.
  • Task 1024 has an estimated start date of 6/15/2016, an actual stop date of 6/3/2016, and no actual start date. Task 1024 displays in the calendar on 6/3/2016 only.
  • Task 5530 has no start dates, has a stop date of 5/15/2016, and Today is 5/20/2016. Task 5530 displays in the calendar on 5/15/2016 only.
  • Task 7236 has no stop dates, has a start date of 5/25/2016, and Today is 5/20/2016. Task 7236 displays in the calendar on 5/25/2016 only.

Adjust Task Dates

Adjust Task dates on the calendar by shortening the duration, extending the duration or adjusting both the start and stop dates of the task so that it spans a different date range. Projected Tasks cannot be adjusted.

To adjust the duration of a task

  • Find the end date of the task
  • Click on the right edge of the task and drag it to the desired end date

To adjust the start date and stop date of a task

  • Find the start date of the task
  • Click on the task and drag it to the desired start date
  • This will also adjust the stop date of the task

When adjusting task dates, the following rules are applied:

Start Date

If the Start Date is before today, the Actual Start Date is set and the Estimated Start Date is cleared.
If the Start Date is today or after today, the Estimated Start Date is set and the Actual Start Date is cleared.

Stop Date

If the Stop Date is before today , the Actual Stop Date is set and the Estimated Stop Date is cleared.
If the Stop Date is today or after today, the Estimated Stop Date is set and the Actual Stop Date is cleared.

NOTE: If any resources exist on the task, the dates must include the resource dates.
